All Beauty, Holistic Therapy and Wellbeing related Services:

We request the minimum level of personally identifying information to run our business effectively. This is data you provide us directly, for example, your name and contact details. We will never obtain information about you indirectly from sources outside our business without written consent from you.

This applies for example if we need a GP referral or if we need to obtain permission from another professional (with whom you are receiving treatment from at that moment in time and are under the care of) to treat you at Hazlemere Spa.

We store notes with respect to services we undertake to ensure we maintain and exceed our level of service. The notes and information we record are saved within our on-line booking system under your name and are only accessible to those that have authority to access them only.

Some examples of why we would take notes and store them are:

  • What colour tint we used for a treatment.
  • What areas we worked on and what techniques we did in a treatment and how well you responded.
  • If we have recommended exercises post treatment.
  • What products we may recommend following a treatment.

The above are only a few examples of why we would take notes about you and how we would record and store them.

We consider you have provided consent for us to store personally identifying information and information about the services we carry out based on you booking the service in the first instance.  Depending on the service(s) we are providing we may be required to ask questions related to your medical history for example.  We will normally request this information by sending you electronically a consultation form prior to treatment via our booking system.

In addition to your medical history, we request other information from you to ensure we meet your needs and expectations of treatment at Hazlemere Spa. The questions that we ask that are for this purpose are not mandatory information that we need to carry out the treatment. And for this reason, you are not under any obligation to provide this information prior to treatment.

Questions within the consultation form process that are specifically asked to provide us with answers that would possibly be a red flag and a contraindication for treatment are therefore mandatory. The purpose of such a question is to ensure that we carry out the treatment with the client’s safety as our top priority for each service we provide.


Appointment confirmations and reminders:

We will contact you via phone, email or SMS to confirm appointments booked and remind you of upcoming appointments. We consider your having made the appointment as consent to undertake this activity but, if you want, you may opt-out at any time.

Appointment ratings and reviews:

After visiting us we may send you an email or SMS asking you to rate our services and provide feedback. We consider your agreement and participation in the service as consent to undertake this activity but, if you want, you may opt out at any time.

Loyalty points system:

We run an automatic loyalty points system that awards points based on customer spend.  The points are accumulated and when a certain point is reached points are redeemable for discounts on future treatments. We communicate via email and SMS details of points collected and when they become redeemable.  We consider when booking for a service as consent to join our loyalty programme, of course, you may opt out of our loyalty programme at any time,


We will not undertake phone, email or SMS marketing without you first providing consent for us to do so. Our marketing campaigns are automated and use rules based on services and products purchased and information we collect from you. For example, we may send marketing campaigns related to your birthday, the fact we miss you (you have not visited for 3 months) and other special days like valentine’s Day and Christmas. Of course, you may opt out of receiving marketing at any time.
